Odoo vs Excel
Excel is flexible and great at calculation, and it is fine while only a few people edit the data. Once several teams depend on the same data, Odoo keeps it in one place, with access rights and a record of who changed what.
We are an Odoo Silver Partner, so read with that in mind. The section on when to choose Excel is written as seriously as the one for Odoo.
At a glance
| Topic | Odoo | Excel |
|---|---|---|
| Strongest point | Every team works on connected data in one system | Flexible, familiar, ready to use today |
| Shared data | Everyone sees the same records | Often split into files and versions that someone merges by hand |
| Access rights | By role, by app and by company | At file or sheet level |
| Thai tax | VAT 7%, withholding tax, purchase and sales tax reports, PND3/53 files, tax invoices and PromptPay QR | Templates and formulas you build yourself |
| Getting started | Needs setup and data migration | Immediate |
| Cost | Odoo's plan pricing plus implementation | Comes with Microsoft 365, which many companies already pay for |
Five questions that decide it
How many people edit the same data?
With one or two people looking after a file, Excel works well. Once sales, warehouse and accounting all edit the same thing, the file splits into versions and most of the time goes into reconciling them.
How long does management wait for numbers?
If sales, stock or profit are only known after month-end and a round of file merging, decisions lag behind the business. A system that records each transaction as it happens keeps the numbers available during the month.
Would work continue if the file owner left?
Complex spreadsheets are often understood by one person. If they leave, work stops. A system with defined steps lets someone new pick it up.
Do you have to prove numbers to outsiders?
Auditors, banks and ESG questionnaires want to know where a number came from and who approved it. A system that keeps source documents and edit history answers that faster.
How much work is repeated every day?
Re-keying the same data, from quotation to sales order to delivery note to invoice, is where a system helps most, because each document is created from the one before.
Which one fits?
Choose Odoo if
- Several teams use and edit the same data
- You need sales, stock and profit during the month
- You must control who can see or change what
- Auditors, banks or ESG questionnaires ask where numbers come from
- Documents get re-keyed at several steps
Choose Excel if
- One or two people look after the data and the work is simple
- The main job is analysis, modelling or one-off calculations
- You are not ready to change how work is done, or have no one to own a system
- Alongside a core system, for example analysing data exported from Odoo
Common questions
Do we have to give up our spreadsheets?
No. Core data such as customers, products and opening balances can be imported into Odoo from files, and Excel stays useful for analysis on data exported from Odoo.
Which work should move first?
Start where data passes through several teams and goes wrong most often. For many businesses that is sales to invoicing, or stock in and out of the warehouse.
Can Odoo produce Thai tax reports?
Yes. Odoo's Thai localization includes VAT 7%, withholding tax, purchase and sales tax reports (VAT-202), PND3 and PND53 files, tax invoices and PromptPay QR codes on invoices.
