What More Than 3,000 Parts in Excel Reveal Before Moving Inventory into Odoo

Odoo’s ThinkCyte case points to the groundwork behind inventory control: item identifiers, storage locations and movement history before connecting purchasing, manufacturing and accounting.

Imagine a warehouse team opening several spreadsheets to find a part. Now suppose finance cannot trace a stock value back to its costing method. That hypothetical example points to a problem earlier than the report: receipts, issues and storage locations may not yet connect to a shared record of what happened. It is an illustration, not a fact reported about ThinkCyte by Odoo.

ThinkCyte, a biotechnology company in Japan, offers a useful example. In the case published by Odoo on 2 October 2026, Odoo says ThinkCyte managed more than 3,000 parts in Excel and that processing its baseline inventory data manually took about six months. Odoo reports that the system went live in 2.5 months, with 15 users on Odoo.sh.

These figures come from a customer story published by Odoo. They are not an independent audit, and they should not be treated as a promised timeline for another organisation.

Start by agreeing what one item means

Odoo says ThinkCyte used a hierarchical location structure, such as headquarters, warehouse and shelf, to locate each part. When a part is received, moved or issued, that structure gives the team a place to record where it went.

Before migrating data, settle the basics: unique item identifiers, units of measure, storage locations, active status and who owns each record. If the same part has several names or units, importing it faster can still leave the stock balance wrong.

Connect each movement to the next business task

The case goes beyond counting stock. Odoo says ThinkCyte brought Inventory, Purchasing, Sales and Manufacturing into one environment, alongside Repairs, Accounting, Documents and Studio. It also describes manufacturing orders linked to physical inventory movements, and multi-currency purchasing used to track moving average cost.

For another business, the design questions are concrete: which event changes stock, who records it, which purchase or production order it refers to, and how finance values the remaining inventory. Connecting modules without settling these rules can move discrepancies from spreadsheets into the new system.

Trace one item from receipt through use

Choose a frequently purchased and issued part. Follow it from the supplier’s delivery, through warehouse storage and a production issue, to the accounting entry. Ask the teams involved:

  • Do they use the same item code and unit of measure at each step?
  • Who records and checks a move between locations?
  • Can a production issue be traced to the part and its source document?
  • How are on-hand quantity and inventory value reconciled with accounting?
  • If a record is wrong, who corrects it and where is the reason kept?

If the answers differ, start by fixing the data and process for that product group, then expand. The team can see real operating issues before moving every inventory record at once.

Odoo’s article does not provide every detail of ThinkCyte’s migration, customisation or audit arrangements. It is not enough to conclude that another organisation can go live in the same time or achieve the same audit outcome. Project scope should reflect item volume, data quality, actual workflows and user readiness.
